Advancement Assistant

Summary

The Advancement Assistant is responsible for supporting the Advancement Department of Providence Animal Center through various administrative tasks. This role is essential in ensuring the smooth processing of donations, maintaining donor relations, and assisting with event preparations. Additional duties may be assigned as needed.

Accountability

This position reports to the Senior Data Analyst.

Essential Duties and Responsibilities

Processing Donations 

· Open and scan mail daily. 

· Download online donations weekly. 

· Perform data entry for donations from multiple sources. 

· Print and mail acknowledgment letters to donors. 

· Complete tribute gift notifications promptly. 

Responding to Outreach 

· Monitor and respond to emails promptly. 

· Return phone calls and address inquiries from donors and stakeholders. 

Database Maintenance 

· Identify and correct errors in the donor database. 

· Track donor correspondence and maintain up-to-date donor profiles. 

· Monitor recurring donors and identify lapsed donors for follow-up. 

Donor Stewardship 

· Complete follow-up communications with Pet Sponsors and Kennel Sponsors to enhance relationships. 

Event Specific Tasks 

· Assist with tracking, follow-ups, errands, and other events-related tasks. 

Qualifications

· High School Diploma or equivalent required. 

· Excellent communication and customer service skills, with professional phone etiquette. 

· Proficient in relevant software applications, including Microsoft Office Suite. 

· Strong interpersonal skills to establish and maintain effective working relationships with colleagues. 

· Commitment to maintaining confidentiality and a high degree of accuracy in work assignments. 

Working Conditions and Physical Demands

· Office environment; must be able to sit for extended periods.

Position Type and Work Schedule

· This position is part-time and non-exempt. 

· The schedule will be discussed during the interview process.
