We are seeking a highly organized, detail-oriented, and resourceful Executive Assistant to support our executive team while taking on keyholder responsibilities for our physical locations and overall operations.

Key Responsibilities

1. Executive Support

  • Act as the right hand to the CEO, managing their calendar, travel arrangements, and correspondence.
  • Prepare for meetings by creating agendas, briefing documents, and presentations.
  • Coordinate communication across departments, ensuring timely responses and follow-ups.
  • Manage confidential information with utmost discretion and professionalism.

2. Strategic and Operational Support

  • Serve as the primary point of contact for internal and external stakeholders on behalf of the executive team.
  • Collaborate with department leads to align operations with company objectives and priorities.
  • Assist in monitoring progress on key projects, ensuring deadlines are met.
  • Conduct research and provide insights to aid in strategic decision-making.

3. Keyholder Responsibilities

  • Oversee physical location(s), ensuring compliance with company policies, security procedures, and operational standards.
  • Open and close pick-up store as needed, ensuring all security protocols are followed.
  • Supervise day-to-day operations during keyholder shifts, including inventory management, cash handling, and customer service oversight.
  • Respond to and resolve operational emergencies or escalations.

4. Leadership and Team Coordination

  • Act as a liaison between the executive team and staff, ensuring clear communication of priorities and updates.
  • Organize and lead team meetings, including preparing notes and tracking action items.
  • Mentor and provide support to staff to foster professional growth and alignment with company values.

5. Administrative and Organizational Duties

  • Maintain and improve organizational systems, including file management and scheduling tools.
  • Plan and coordinate company events, team off-sites, and wellness workshops.
  • Ensure compliance with all company policies and procedures, acting as a role model for team members.
